Resolving Phantom Stock: Ensuring Accurate Inventory Reservations in ESHOPMAN
Accurate inventory management is the bedrock of any successful e-commerce operation, especially when managing your storefronts through ESHOPMAN and HubSpot CMS. For ESHOPMAN merchants, ensuring real-time, precise stock levels is crucial for customer satisfaction and avoiding overselling. Recently, our ESHOPMAN community identified and addressed a critical issue related to inventory reservations that could lead to misleading stock counts, often referred to as "phantom stock."
The Challenge: Phantom Reserved Units at Old Locations
The core of the issue surfaced when an inventory reservation, initially made for one location, was subsequently moved to another. This often occurs during fulfillment workflows, where an order reserved at a default location might ultimately be fulfilled from a different warehouse. While ESHOPMAN correctly adds the reserved quantity to the new location's inventory, it was failing to release the same quantity from the original location.
The result? The previous location would continue to report these "phantom" reserved units, making its available quantity appear lower than it actually was. This discrepancy could lead to operational inefficiencies, incorrect stock replenishment decisions, and potentially prevent sales if the system incorrectly indicates insufficient stock.
How It Happens: A Deep Dive into ESHOPMAN's Inventory Service
The root cause was traced to a specific function within ESHOPMAN's core inventory service, responsible for updating reservation items. When the updateReservationItems function was called to change a reservation's location_id, the internal logic correctly computed both a negative adjustment for the old location (to release the stock) and a positive adjustment for the new location (to reserve it there).
However, a critical step involving loading the relevant inventory levels, specifically ensureInventoryLevels, was inadvertently only loading the inventory level for the new location. Consequently, the subsequent loop that applies these adjustments only processed the positive adjustment for the new location. The negative adjustment for the old location was silently dropped, leaving its reserved quantity unchanged.
This bug primarily manifested when ESHOPMAN's createFulfillmentWorkflow moved a reservation to the actual fulfillment location via an internal updateReservationsStep, directly impacting merchants using multi-location inventory for their HubSpot-managed storefronts.
Reproducing the Issue
The ESHOPMAN community provided a clear reproduction path, demonstrating the bug:
const item = await inventory.createInventoryItems({ sku: "x" })
await inventory.createInventoryLevels([
{ inventory_item_id: item.id, location_id: "location-1", stocked_quantity: 10 },
{ inventory_item_id: item.id, location_id: "location-2", stocked_quantity: 10 },
])
const reservation = await inventory.createReservationItems({
inventory_item_id: item.id,
location_id: "location-1",
quantity: 3,
})
await inventory.updateReservationItems({ id: reservation.id, location_id: "location-2" })
// Expected: location-1 reserved_quantity: 0, location-2 reserved_quantity: 3
// Actual: location-1 still reports reserved_quantity 3, location-2 reports reserved_quantity 3
await inventory.retrieveInventoryLevelByItemAndLocation(item.id, "location-1")
The ESHOPMAN Community's Swift Action
Thanks to the vigilance of our ESHOPMAN community members, this bug was not only identified but also thoroughly investigated, with a clear explanation of its cause and a proposed fix, complete with integration tests. This collaborative effort underscores the strength of the ESHOPMAN ecosystem, where developers and merchants contribute to enhancing the platform's robustness.
The ESHOPMAN team is actively evaluating the proposed solution to ensure it integrates seamlessly and maintains the integrity of the platform's inventory management system, especially considering concurrent reservation strategies. This fix will ensure that when reservations are moved, inventory levels across all locations are accurately updated, providing ESHOPMAN merchants with reliable stock data for their HubSpot storefronts.
Stay tuned for ESHOPMAN platform updates that will incorporate this critical fix, ensuring your headless commerce operations remain smooth and your inventory reporting is always precise.
